Dayton/Montgomery County CVB Is One-Stop Shop For Meeting And Event Planners
DAYTON, OHIO—The Dayton/Montgomery County Convention & Visitors Bureau (CVB), which markets Dayton as a site for conventions, group meetings, trade shows, motorcoach tours and the leisure traveler, is a one-stop resource center for meeting and travel planners.Ê Meeting planner guides and event proposal packages; site inspections and familiarization tours; and negotiations with area attractions, hotels, restaurants, airlines and transportation companies are just a few of the Bureau's offerings.Ê Other resources and services, many of them complimentary, are available to groups requiring at least 25 sleeping rooms. These valuable services—as well as the area's quality accommodations, meeting venues, interesting attractions, diverse art offerings and unique restaurants—helped draw more than 200 meetings and more than a half million people to the Dayton area in 2000. “Destination marketing is a competitive business,” says Jacquelyn Y. Powell, President/CEO of the Dayton/Montgomery County Convention and Visitors Bureau.Ê “While many other CVBs are charging fees or outsourcing their services, we offer a variety of complimentary services which are truly valuable to meeting planners.”
Among the services that are complimentary to groups utilizing 25 or more sleeping rooms are the following: Dayton AmbassadorsÊA team of qualified, knowledgeable individuals who assist with registration, typing, hostessing and other event-related projects. Dayton Information StationÊThis tabletop booth comes complete with attraction brochures, current event happenings, locator maps, shopping information, and a Dayton Ambassador.Ê It can be customized to contain materials specific to each meetings' needs. Restaurant Reservation BoothÊDelegates can preview menus from the area's top dining establishments and favorite family restaurants.Ê A knowledgeable Dayton Ambassador staffs the booth to help with restaurant selections, directions and reservations. Dignitary LiaisonÊThe Dayton/Montgomery County CVB provides a direct link to city, county and state elected officials.Ê Our Convention Services Managers can secure a proclamation from the Mayor, County Commissioner or Governor or arrange for welcome letters and words of invitation to enhance registration materials, welcome packets or programs. Media ResourcesÊReview the basics of writing press releases and public service announcements in our Media Resources Guide to help generate pre-event or day-of-event publicity.Ê Media mailing labels for the region's print, TV and radio stations are also available. Spouse/Children's ActivitiesÊOur Convention Services Managers can suggest special tours, shows or outings that will educate and entertain family members traveling with event attendees. Speakers/EntertainmentÊThe Convention Services Department maintains extensive files on local, state and national speakers and entertainers, and can recommend ones best suited to your event agenda. Party Planning/OutingsÊOur Convention Services Managers can offer suggestions for unique venues, theme ideas and service providers.
Promotional MaterialsÊA variety of collateral materials are available upon request, including videotapes, photos, slides, maps visitor guides and brochures highlighting the area's accommodations, restaurants, shopping, museums and attractions. Shop-A-RoundsÊFashion shows, private showings, fashion consultants, special sales and refreshments can be arranged to meet a group's schedule and preferences. Dine-A-RoundsÊThe CVB can plan a progressive lunch or dinner to satisfy the interests, tastes and budget of every group.Ê Popular choices include restaurants that are ethnically diverse, architecturally interesting or historically significant. Computerized Housing ListsÊThe Bureau provides computerized housing services for complex housing needs, when multiple hotels are required or detailed room inventories must be maintained. ÊBuck-A-BadgeÊMeeting planners can provide a registration list, logo and any pertinent information and the CVB will produce professionally-designed, easy-to-read, laser-printed name badges for $1 each.Ê Convention Services Managers will deliver the name badges to the location of choice, presorted to specifications.Ê If needed, a Dayton Ambassador and bulletin typewriter can complete on-site badges. Welcome PacketsÊThe CVB can prepare welcome packets complete with meeting agendas, information about optional activities and Dayton/Montgomery County brochures, maps and collateral materials.
For convention attendees and visitors, the Dayton/Montgomery County area boasts roughly 70 hotels, motels and bed-and-breakfasts with nearly 7,000 sleeping rooms.Ê Meeting facilities include the state-of-the-art Dayton Convention Center, with more than 150,000 square feet of meeting and exhibition space; and Dayton Hara Complex, including an arena seating 7,200 and four additional conference and exhibit centers with more than 115,000 square feet.
